Call for Applications: Festival Coordinator

Art in the Open (AITO) is seeking an enthusiastic and community-minded Festival Coordinator to lead the planning and execution of the 2025 Art in the Open Festival. This edition of the festival will take a new approach, presenting a juried selection of projects over several days rather than a single-night event. The Festival Coordinator will oversee the festival’s preparation, including a public call for submissions, coordination of selected projects, and the event presentation and promotion. This role requires strong organizational skills, communication abilities, and a passion for contemporary art in public spaces.

About Art in the Open

Art in the Open (AITO) is a free contemporary art festival, traditionally held during the last weekend of August in Charlottetown, Prince Edward Island. AITO transforms the city into a dynamic public gallery, showcasing installations, projections, performances, sculptures, and multimedia works. The festival fosters community engagement with contemporary art while enhancing public spaces and making high-quality artistic experiences accessible outside of a gallery setting. 

Position Details

  • Location: Charlottetown, Prince Edward Island (remote/in-person hybrid)

  • Duration: 30 weeks

  • Hours per Week: 25

  • Wage Rate: $30.00/hour

  • Application Deadline: March 9, 2025, at 9:00 PM Atlantic Time

  • Start Date: March 2025 (flexible)

Key Responsibilities

  • Develop and manage the festival’s timeline, ensuring smooth execution from planning to presentation

  • Coordinate a public call for submissions and facilitate the peer jury selection process

  • Act as the main liaison for selected artists, assisting with logistics, contracts, and project development

  • Oversee event logistics, including site planning with municipal and community partners

  • Manage festival communications, including social media promotion, website updates, and press outreach

  • Develop and monitor the project budget in consultation with the Art in the Open Board of Directors; ensuring efficient resource allocation and financial reporting

  • Recruit and coordinate contract staff and volunteers to support festival production as needed

  • Foster relationships with community partners and stakeholders

  • Ensure festival accessibility and audience engagement initiatives align with AITO’s mission

  • Prepare post-festival reports, evaluations, SOPs and workflows as needed

Qualifications & Skills

  • Experience in event coordination, arts administration, or project management, preferably in a festival or public art setting

  • Strong organizational and time-management skills with the ability to multitask and meet deadlines

  • Excellent written and verbal communication skills

  • Knowledge of contemporary art practices and understanding of public art presentation is an asset

  • Experience in budgeting, grant writing, or fundraising is an asset

  • Proficiency with digital tools, including social media platforms, website management, and design software is an asset

  • Ability to work independently while collaborating with artists, community members, and stakeholders

  • Experience managing volunteers and leading staff teams

  • A passion for community engagement and public art
